Course Overview & Objectives

Sales is being rapidly transformed by Artificial Intelligence, enabling teams to personalize outreach and close deals more efficiently. For Small and Medium Enterprises (SMEs) with limited resources, AI provides a powerful way to enhance lead outreach, craft highly personalized communications, and understand prospect needs without the need for large dedicated sales research teams.

This course introduces how SMEs can leverage free AI tools to personalize cold outreach and gain deeper insights into their prospects’ communication styles. Learners will walk through a complete sales workflow: from analyzing a prospect’s public profile to drafting a highly tailored cold email

Learning outcomes

By the end of this course, learners will be able to:

  • Explain how AI supports SMEs in enhancing sales personalization and efficiency.
  • Analyze a prospect’s professional profile to inform a sales strategy using an AI tool.
  • Generate personalized cold outreach emails using a large language model like Gemini (Gems).

Step-by-Step Activities

Scenario: You have identified a key prospect, Jaime Saavedra, on LinkedIn who works at a medium-sized company and recently posted about challenges in their supply chain efficiency. You need to craft a compelling, personalized cold email to introduce your supply chain optimization software.

Activity 1 – Analyze a Prospect with Crystal Knows AI

  • Go to Crystal Knows AI and access the tool.
  • Locate Prospect Profile: Navigate to the LinkedIn profile of your prospect. For this exercise, you can use your own profile to test this AI tool in action. 
  • Analyze the Profile: Use the Crystal Knows AI extension or platform to analyze the profile.
  • Review Insights: Note the suggested communication style, motivators, and potential fears for the profile.
  • Outcome: You will have gathered AI-driven insights on how to approach the person (e.g., if they are analytical, direct, or relationship-focused).

Activity 2 – Craft Personalized Outreach with Gemini (Gems)

  1. Open Gemini (Gems): Go to the platform and start a new chat.
  2. Define the Persona and Goal: In the prompt box, begin by outlining your persona and your objective. For example: “Act as an Account Executive selling supply chain optimization software. Write a cold outreach email to ________, who works at ________.”
  3. Incorporate Crystal Knows Insights: Now, include the communication insights you gathered in Activity 1. For example: “The email must be direct, fact-based, and prioritize efficiency (based on Crystal Knows AI). Reference her recent post about challenges in supply chain bottlenecks.”
  4. Generate and Review: Submit the prompt and review the generated email draft.
  5. Iterate: If the draft is too long or not sharp enough, use follow-up instructions like, “Make it 2 sentences shorter and add a clear call to action to schedule a 15-minute call.”

Activity 3 – Final Tweaks and Adaptation

  • Review against Insights: Check the generated email against the insights from Crystal Knows AI. Does the tone match the recommended approach (e.g., direct vs. relational)?
  • Edit for Authenticity: AI is a draft, not the final word. Manually edit the subject line and body to ensure it sounds authentic and truly represents your company’s voice, not a generic AI output.
  • Verify Facts: Double-check that all facts mentioned (like the company name or the reference to her recent post) are accurate.
  • Export and Send: Copy the finished text and use your email platform to send the personalized cold outreach.
  • Outcome: By the end of this activity, you will have produced a full sales asset: a prospect analysis and a highly personalized cold email draft, using free AI tools.
